Below you will find booking terms, rules for liability, rules for forgotten items, etc.

Booking conditions

The guest can cancel the reservation in good time without charge until the day before arrival at 4:00 PM. Cancellation later than this will incur a fee equal to the total price of the stay, as well as any additional purchases.

Cancellation must be made by email to reception@hotelvejlefjord.dk with the subject: CANCELLATION

If the guest does not make a reservation, Hotel Vejlefjord will treat this as a cancellation after the cancellation deadline has expired and the reservation will be paid in full.

Reservation changes will be treated as a cancellation if the changes result in a shortening of the length of the stay or a reduction in the number of rooms. Any additional purchases can also be cancelled until the day before arrival at 4:00 PM, after which these will be paid in full.

The guest can require written documentation in the form of an email or letter from Hotel Vejlefjord of timely receipt of the cancellation.

When booking 5 rooms or more, the following cancellation rules apply:

Group reservations:

Until 16:00 8 weeks before arrival, the guest can cancel up to 100% of the reservation free of charge.
Until 16:00 4 weeks before arrival, the guest can cancel up to 50% of the reservation free of charge.
Until 16:00 10 days before arrival, the guest can cancel up to 25% of the reservation free of charge.
Until 16:00 the day before arrival, the guest can cancel up to 10% of the reservation free of charge.
If cancelled after 16:00 the day before arrival, the reservation will be charged in full.
Arrival

Rooms are available from 14:00 on the day of arrival.

Departure

Rooms must be vacated no later than 10:00 AM Monday-Friday and 10:30 AM Saturday-Sunday.

If the room is vacated later than the above times, Hotel Vejlefjord may require payment for an extra night.

Liability

Both the guest and Hotel Vejlefjord are obligated to comply with the reservation agreement.

However, in the event of force majeure or similar situations, Hotel Vejlefjord cannot be held liable for cancellation without notice. Force majeure refers to extraordinary circumstances beyond the direct control of Hotel Vejlefjord, including but not limited to fire, water damage, strike/lockout, or illness within the staff.

Any compensation in connection with the non-fulfillment of the agreement, other than in cases of force majeure, cannot exceed the total price of the reservation. Any indirect losses, such as loss of profit, will therefore not be covered.

Valuables/luggage storage, etc.

Hotel Vejlefjord cannot be held responsible for the loss or theft of valuables/luggage in rooms or on the hotel grounds; including in connection with the use of luggage storage and lockers.

Forgotten items

Valuables and/or luggage left or forgotten in rooms and hotel areas will be stored for up to 3 months after departure, after which they will be handed over to lost property. Items can be returned for a handling fee of DKK 100,- plus shipping costs.

Parking

Hotel Vejlefjord cannot be held responsible for vandalism or theft of/in the parked vehicle on the hotel grounds.

Cleaning

The rooms are cleaned daily between 10:00 AM and 2:00 PM.

Hotel Vejlefjord is entitled to omit cleaning if cleaning is made difficult by luggage or other items belonging to the guest. For stays longer than three days, bed linen will be changed as needed.

Gift card

Conditions for purchase, use and cancellation of gift cards

Gift card

Gift cards purchased at Hotel Vejlefjord are generally valid for *3 years from the date of issue, cf. the Danish Purchase Act.

  • The hotel does not replace damaged, stolen or lost gift cards.
  • Our gift card is a bearer certificate, which means that if you lose it, it cannot be replaced. At the same time, it is always the person who is in possession of the gift card who will also be able to redeem it.
  • Even if you have confirmation from the gift giver, from packaging or receipt, we must unfortunately maintain that the gift card only has value for the holder of the gift card.
  • A gift card can be equated with banknotes and coins, which also cannot be replaced if they are lost or misplaced.

The value of a gift card, whether it is a value or spa event gift card, the gift card can always be used for payment or part payment for all our products, but not when purchasing a new gift card. If the full value of a gift card is not used, it will not be replaced with a new gift card, but will be written down with the purchase amount and the expiration date will remain

The gift card cannot be exchanged for cash.

* The "5 Indulgence Clips" clip card is valid for 1 year from the date of issue.

Payment for stays/services with gift cards

You can pay with your gift card when booking online. You must bring the gift card physically with you when you arrive at the hotel and hand it in at the reception.

If you pay with a gift card for one of the following experiences: Morning Delight, De-stress Spa, AftenSpa Deluxe, Romantic Spa or VitalSpa, please be aware that there may be an additional payment due to price increases. This amount can be refunded when you arrive at the hotel.

Digital/electronic gift cards

Our gift cards are not digital/electronic gift cards and therefore not subject to the rules for electronic gift cards.

Order confirmation

When ordering a gift card, you will automatically receive an order confirmation by e-mail.

It is therefore important that your e-mail address is correct – please check it once more before finally placing your order.

Delivery

Your order will be delivered to your chosen GLS parcel shop. Upon delivery, you will be automatically informed via the mobile number or email you provided when ordering.

Your order will be packed and shipped within 2 days – Delivery time by GLS within 3-4 days.

Shipping

All web orders will be subject to a postage and handling fee of DKK 50 per web number.

Right of withdrawal - cancellation of your purchase

There is a 14-day right of withdrawal from the date of issue.

To exercise your right of withdrawal, you must do the following:

  • Confirmation of the cancellation purchase is sent by email together with the WEB order number to chh@hotelvejlefjord.dk
  • Send the order back to us or refrain from picking up your order in the parcel shop. Then the order will be returned to us after 10 days from the parcel shop.
  • When the gift card is received back, the amount will be refunded to the credit card that made the purchase - this happens automatically in our system.

Payment

All purchases at www.hotelvejlefjord.dk can be paid with mobilepay and credit card. We accept Dankort, Visa, Visa Electron and Mastercard. Payment will only be debited from your account when the item is shipped.

All amounts are in DKK. Danish kroner and include VAT.

Hotel Vejlefjord uses an approved payment server that encrypts all your account information with SSL (Secure Socket Layer) protocol. This means that your information cannot be read.

Order

You can order gift certificates and spa products at www.hotelvejlefjord.dk. By ordering and paying the confirmed price, the customer accepts these terms and conditions.

Delivery/delay

Goods purchased at www.hotelvejlefjord.dk are delivered with GLS. The delivery time is 3-4 working days. The company has the right to postpone the delivery deadline for up to 10 working days.

If the delay is due to circumstances that can be described as force majeure, which means circumstances in this country or abroad that are beyond the company's control, the delivery time will be extended for as long as the obstacle has existed.

Shipping costs

All items ordered at www.hotelvejlefjord.dk are delivered at current shipping prices including VAT.

Return

There is a 2-year warranty period according to the Danish Sales Act. Our warranty applies to defects in material and/or manufacturing.

Refund

If an agreement has been made for a refund, please provide us with your bank details so that we can transfer the agreed amount.

Right of withdrawal

We offer a 14-day full right of return on items purchased in our webshop. The period is calculated from the day you receive the order. You must bear the return costs yourself.

The message must be sent via e-mail to chh@hotelvejlefjord.dk. In the message, please clearly state that you wish to exercise your right of withdrawal.
